Performs full clerical, administrative, and general office duties and assignments that are complex in nature where considerable judgment and initiative are required in resolving problems and making recommendations.
Administrative Assistant is responsible for supporting the Administration team with completing tasks, staying organized and resolving issues.
They will assist with all the financial transactions of the company, as well as processing invoices, research, and employee benefits.
They will create and maintain physical and electronic filing systems, prepare communications and schedule meetings.
Qualifications and
Experience:
5 years experience as administrative assistant - Non-negotiable.
5 years of Quickbooks experience.
Extensive knowledge of Microsoft Suite (Word, Excel, PowerPointGood interpersonal skills, ability to work effectively with people.
Able to deal effectively with a wide range of situations and personalities.
Follow policies and procedures, understand and support the organization's goals and values.
Good communication skills and ability to learn quickly.
Be able to write clearly and informatively.
Able to follow instructions as well as take responsibility for own actions.
Mature, dependable, confident, organized and adaptable to change.
Sets goals and objectives, uses time efficiently, and plans for actions.
Must be able to legally work and reside in the US without sponsorship Roles and
Responsibilities:
Handles a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research, and management roles.
Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others.
811 calls to prepare for digging on jobsites Build ERP's for jobsites (Emergency Response Plans) Search for material vendors in new areas Schedule vehicle service appointments Schedule drug testing Occasionally sit in as Site Supervisor on jobsite Go to bid meetings on behalf of company Handles confidential information and communications.
Uses discretion and judgment and knowledge of organization to facilitate the executive's activities.
Types formal letters, interoffice correspondence and miscellaneous documents; proofreads work for accuracy and composes correspondence and responses to inquiries on own initiative Answers telephone and handle requests for information at an advanced level Sets up and maintains department records and files Arranges travel schedules and reservation Pay:
